Getting Started
What is FreeCampusCRM?
FreeCampusCRM is a CRM platform built specifically for university and college departments. Our first module is Career Services — helping teams manage employer relationships, job pipelines, and student placement outcomes. Admissions and Alumni Relations modules are coming soon.

FreeCampusCRM is built for career services teams, admissions offices, alumni relations departments, and other university staff who manage relationships with employers, students, prospects, and partners.
How do I get started?
Book a demo and we will set up your organization, onboard your team, and get you running within 24 hours. Free tier users can also get started by contacting us directly.
Do I need technical skills to use FreeCampusCRM?
No. FreeCampusCRM is designed for advisors, directors, and administrative staff — not IT teams. If you can use a spreadsheet, you can use FreeCampusCRM.
Pricing & Plans
What does the Free plan include?
The Free plan includes 1 user, up to 100 contacts, up to 10 companies, and access to the Career Services module. It is free forever with no credit card required.
What does the Pro plan include?
Pro includes 5 users, up to 1,000 contacts, up to 100 companies, all current and future modules, team collaboration and role management, priority support, and onboarding assistance. Pro is $499/month billed annually ($5,988/year).
What is the Enterprise plan?
Enterprise is a custom plan for large university systems that need unlimited users, unlimited records, multi-campus support, SSO/Active Directory, custom integrations, FERPA compliance documentation, and contract/invoice-based billing.
Can we try Pro before committing?
Yes — book a demo and we'll set you up with a 90-day full-access trial of Pro features at no cost.
Do you support purchase orders and net-30 invoicing?
Yes — Pro and Enterprise customers can pay via invoice with net-30 payment terms. Contact us to discuss your procurement requirements.
What happens when we hit the Free plan limits?
You will be notified when you approach the limits. Your existing data stays intact — you just cannot add more records until you upgrade.
Data & Security
Is our data kept separate from other universities?
Yes — FreeCampusCRM uses row-level security enforced at the database level. Your institution's data is completely isolated from every other organization on the platform.
Is FreeCampusCRM FERPA compliant?
FreeCampusCRM is designed with FERPA principles in mind. Enterprise plans include formal FERPA compliance documentation for your IT security review.
Who can see our data?
Only users you invite to your organization can access your data. We never sell, share, or use your data for any purpose other than operating the platform.
Where is our data stored?
Data is stored on Supabase (PostgreSQL), hosted on AWS infrastructure in the United States. Backups are taken daily on Pro and Enterprise plans.
What happens to our data if we cancel?
Your data is always yours. You can export it in CSV format at any time. After cancellation, data is retained for 90 days before permanent deletion.
Team & Access
How do I add team members?
Admins can invite teammates directly from the Team page inside the app. You generate an invite link and send it to your colleague — they click the link, create their account, and are automatically added to your organization.
What is the difference between Admin and Member roles?
Admins can invite new team members and manage organization settings. Members can view, create, edit, and delete records but cannot invite users or change settings.
Can multiple departments at the same university use FreeCampusCRM separately?
Yes — each department can have its own separate organization with completely isolated data. Or they can share one account with multiple modules enabled.
Modules & Features
What modules are currently available?
The Career Services module is live today. The Admissions module and Alumni Relations module are in development and coming soon.
Will we automatically get new modules when they launch?
Pro and Enterprise customers automatically receive access to all new modules as they are released, at no additional cost.
Can field labels be customized for our institution?
Yes — Pro and Enterprise plans support custom field labels. For example, if your institution calls placements 'Outcomes,' that label can be updated organization-wide.
